Operations Coordinator, Bristol

​​Studio Upstairs is seeking a highly organised and self-motivated professional to join our Bristol team. This unique freelance role is the administrative engine behind our growth, focused entirely on the systems that generate our core revenue.

You will provide the structure and process needed to maximise income from our four vital streams: Membership/Referrals, Workshops, and Art Sales. Your success will directly enable the expansion of our mission.

Core Responsibilities:

​

The successful candidate will use their limited time to execute high-leverage administrative tasks, with a clear focus on the following revenue-generating activities:

​

Membership & Referral Management:

  • Act as the first administrative point of contact for all new member inquiries and referrals.

  • Maintain and manage the membership waiting list, ensuring smooth intake paperwork and transition from inquiry to active membership.

  • Liaise daily with the group leaders to ensure smooth communication across teams

Workshops & Events Coordination:

  • Scheduling & Booking: Administer the schedule, manage all digital bookings, and process payments for external workshops and groups.

  • Promotion Support: Coordinate the administrative support for local promotional events to maximise attendance and visibility.

  • Oversee volunteers

Art Sales & Inventory:

  • Maintain an accurate, clean inventory of studio artwork available for sale.

  • Process and document art sales transactions, liaising with buyers and managing post-sale logistics.

Financial & Operational:

  • Assist with office and studio orders

  • Maintain all compliance records

  • Act as the administrative manager for studio security protocols and key access, managing permissions for staff, freelancers, and contractors.

  • Coordinate and track necessary studio repairs, maintenance, and the hiring/safe storage of major studio equipment and furniture.

Essential Candidate Profile

We are looking for someone who thrives on organisation, efficiency, and autonomy:

  • Income Optimisation & Process Design: You must be a "can-do" individual with a proven ability to design and implement simple, effective administrative systems that accelerate income generation and maximise revenue from pipelines like bookings, referrals, and inventory.

  • Meticulous Attention to Detail: Capable of handling financial documentation and compliance records with accuracy.

  • Self-Driven: Proven ability to manage their own schedule flexibly and autonomously to achieve measurable results in our income streams.

This is a part time freelance contract, renewable after annuall performance review: 

  • Daily Rate (6 paid hours): £79.40

  • Hours per week: 12 hours per week, with potential for expansion based on income success

Hours worked will include those evenings and Bank Holidays when SU provides activities. The role is office based -  at the Bristol Studio.

Studio Manager

Bristol, Mondays

Studio Upstairs needs an exceptional, self-motivated individuals to join the Bristol team and help the organisation develop further.

​

The successful applicants will be qualified art therapists and practising artists. They will have ‘a can do’ attitude, capable of handling a multitude of tasks and be able to stay calm under pressure.

​

This role will carry the  responsibility for the creative process within the Visual Art Studio including supervision of volunteers/ trainees. The main purpose of the role is to facilitate a safe environment, which enables Studio Members to effect change and growth on a personal level through therapeutic relationships and through the use of art materials and processes.

 

Other responsibilities include: organising regular reviews of studio artists artwork; being open to the emotional needs of the membership; to provide individual support where necessary; to work with the team to increase membership numbers; to help organise exhibitions and events and to facilitate monthly forums in the studio.

​

This is a freelance contract for £20,800 per annum (pro rata - one day per week). The role will include occasional evening or weekend work. The post holder will be required to complete an enhanced DBS check.

​

Cover

Studio Manager

(Qualified Art Therapist)

Studio Upstairs is looking for Art Therapists who are interested to join our bank for occasional cover and/or maternity cover.

The cover work will be in person for small groups which run 10m-5pm during the week.

Please indicate if you would be interested to facilitate weekend or evening sessions.

The ideal candidate will be local to the studio for which they are applying (Dalston, Croydon, Mitcham or Bristol).

The post holder will be required to provide their own professional indemnity insurance, DBS check, and to complete an induction prior to commencement.

Sessional Group Facilitator‏

Studio Upstairs is looking for Artists, Art Teachers and Art Therapists who are interested to join our bank of sessional facilitators for evening and weekend art and wellbeing workshops.

The work will be with small groups - usually on 12-week terms.

Please indicate your availability and outline any relevant experience in workshop delivery.

The ideal candidate will be local to the studio for which they are applying (Dalston, Croydon or Bristol).

The post holder will be required to provide their own professional indemnity insurance, DBS check, and to complete an induction prior to commencement.

Office Volunteer

The main duties are to support the smooth running of the office. Tasks would include:

​

  • Answering the phone, booking appointments and visits

  • Filing and updating databases

  • Maintaining office equipment and art materials stock

  • Marketing and updating social media to promote the studio, artwork sales & events

  • Supporting the studio team and promoting the charity

  • This is a great opportunity to work in a vibrant and creative atmosphere, whilst gaining further administrative skills and contributing to an established project, which is evolving and expanding.

Key Skills Required

​​

  • Organised and accurate

  • ​Good general administrative skills

  • Able to work on own initiative as well as part of a team

  • Good working knowledge of Microsoft Office, particularly Word and Excel / Google equivalents

  • Good communication skills, written and verbal

  • An interest in the arts and mental well-being

Studio Volunteer

Six month’s minimum commitment expected

This role is most suited for art therapists or art teachers (both also practicing artists) who are looking to make a contribution to a charitable organisation and learn about the model and practice at Studio Upstairs for career development purposes. 

All volunteers will be asked to sign a Volunteer Agreement which will explain the responsibilities and commitments
